A reminder that the Library is unable to provide free copying and printing for clients.
If clients require copying/printing and do not have their student card, they must purchase a $2 debit card from the recharge machines on Level 1, 2 or 3.
For issues regarding the copying and printing of enrolment related documents (transcripts, etc.) please advise students to go to the Atrium in the Campus Hub.

Staff use only - emailing scans from staff MFDs
1. For a one-off scan to email:
On the MFD screen, select Fax/Scan
Select Direct Input
Select Email
Type in the email address
Send
To return the MFD to normal function:
Select Reset [to clear the Fax/Scan function]
Select Copy [to return the MFD to standard use]
2. To add an email address to the MFD address book permanently:
A OneHelp ticket must be lodged [requires Administrator rights to set up]
For multiple scans the best option is saving to USB then using a PC to bring up the email address and transfer the scans. From the way the MFD option works, it means setting up the email for each scan - a longer process if you have a lot of scans. Good for a one-off scan however.

Departmental Photocopying Cards
In the past, each faculty maintained a number of departmental copy cards where credit was added using a form to the Library.
With the change to the new card system, faculty staff may come to the Library with an old style departmental copy card. As cards are now the responsibility of the Campus Cards Group, they have agreed to the following approach by the Library (confirmed by Kathie Fraser):
When someone comes with an old card:
1. Photocopy or print the required pages for the client and deduct the costs
(at self-service rates eg: 11 cents for single-sided black-and-white A4) from their old card
2. Request that they contact their department for authorisation to transfer any remaining funds to a new reloadable debit card (no charge for the new card).
Note: we are unable to put any name or card number on the reloadable debit card.
3. Suggest that their department contact Campus Card to determine how Departmental copy cards will be handled in the future.

Printing between the Library and C5C
It is possible of course to direct people to C5C when we have printing issues.
However the two printer networks are completely separate.
You cannot 'see' a print job in C5C that you have sent to the Library networked printers, and vice versa.
If you have to send a student over to the C5C computing labs, make sure that they understand they will need to go to a PC, bring up the document and re-send it to the C5C printers before they can print it.
As well: the Student IT Help staff cannot retrieve a file from the network printers for students. Please do not send students to Student Central to print a file. Direct them to the C5C computer labs to use the PCs
All credit refund questions or copy card problems, please refer to Service Zone 3.

Thesis and Closed Access copying requests - clarification of what we can do
What can be copied and into what format when dealing with Thesis and Closed Access material depends on the criteria under which the request is made: eg: by Library staff or clients, under which set of copyright laws, and considering the format of the material (electronic or physical).
Please be very careful to ensure that you select the correct option according to the specific query. We cannot waive legal requirements if asked to do so.
1. Requests from Library staff to copy Theses for Library purposes, e.g. Document Supply or Research & Scholarly Information
If any request is received from these teams, theses can be copied in full, and saved onto a Library shared drive.
These requests are made under relevant provisions of the Copyright Act and the staff should only place requests where they know these are covered.
2. Requests from clients to copy Theses for research and study purposes
If any request is received from a client, the thesis can be copied in full but the client must only receive a print copy of the thesis.
Copying onto a USB or supplying the copy to the student in electronic form is not allowed. This is designated as ‘format shifting’ and is not covered by the private research and study provisions of the Copyright Act.
If an electronic copy is made to provide the print copy, the electronic copy can be given to the Research & Scholarly Information team who will try and get permission to make the copy available electronically through ResearchOnline.
3. Requests from Library staff to copy Closed Access material
If any request is received from the Research & Scholarly Information team to copy such an item in full is allowed. These requests would be made under the provisions we have for ERA purposes.
If any request is received from the Document Supply team to copy such an item in full this should also be allowed. They will be copying it under one of the relevant Document Supply provisions.
4. Requests from clients to copy Closed Access material
Copies for clients can only be made under the private research and study rule which means normally only 10% or 1 chapter can be copied. The copy has to be supplied in print form. The copy can not be provided on a USB or other electronic form.
If the item is out-of-print, copy of the whole publication might be allowed. However you have to have proof of this out-of-print status and you can not just rely on the client’s information.
Information provided by Fiona Burton and Maxine Brodie.

Staff copying of student files at staff photocopiers
If there is a difficulty with a student printing a file, and staff decide to assist using a staff photopcopier, please follow these directions:
Staff are not to download items off the internet (email accounts or websites) to print or save for students as this is a risk with viruses. Information must be on a USB.
If a student does not have a USB, use the USBs located at the Service Zone desks. Make sure to delete the files when finished.

Computer Software - troubleshooting
1. There is a compatibility problem between Acrobat 10 and Firefox.
Solution: downgrade Adobe to 9.4 version or switch search engines (eg use Chrome or Internet Explorer)

Students being referred to the Library for printing
During enrolment periods, enrolling students may come to the Service Zones asking where to print an enrolment confirmation advice.
Please be advised that students do not require a printed copy of their enrolement advice in order to get a student card. All they have to do is provide ID eg: Drivers Licence
Some enrolment centres will also send enrolling students to the Library to make copies of various enrolment forms, not realising that the students (who do not yet have a student ID card) will have to buy a copy card and add credit even to copy one page.
1. Refer this to your Service Coordinator who will:
2. Find out from the student which student centre has sent them.
3. Advise Reenah Lampert x7773 who will contact the centre directly to remind them that the Library does not provide coin-operated or free copy service.

Print Station tip
Occasionally on the Print Stations, a query will come up:
pc-release-local-cache.exe
Run or Cancel
This is part of the unicard software. Please click Run.
The Print Release program will then activate (setting up the green How to Print screen).
However, for any other exe file that you do not recognise, please advise your Service Coordinator so they can investigate.

MFD - photocopier - solution to beeping card reader
The copier card readers can get stuck on a card record. You will often see the credit amount still on the reader screen and pressing End will not close it. The reader will normally be beeping at this point.
The issue isn't with the reader, its related to the MFD itself.
The MFD/copier needs to be reset by using the power shutdown button on the side of the LCD screen.
Turn it off, then after a few seconds, turn it back on and this should fix the problem of the reader not being able to shutdown and thus beeping!
