Fines Transfer December 2012

The Fines Transfer occurred on 5 December. This is to transfer outstanding fines from the Library Voyager system to Financial Services. Students with outstanding fines are unable to receive their exam results or re-enrol until the fine has been paid or queried/resolved.

Once the Student's fines have been transferred to Financial Services, they will no longer appear in MyLibrary and therefore when advising students re. fines, you should always check in Circulation (the Fines/Fees History tab). Check the Fines/Fees history and check for the date of the Bursar transfer.

Should a student indicate they have paid any "Bursar" transfer fines, please refer them to the Cashier.

If a student says that they have paid all fines and have any questions about their payment, please refer them to the Cashier.

As always, should you be unsure, please refer to the Access Services staff on x7507.

Macquarie City Campus Students

Macquarie City Campus is a commercial education supplier managed by Navitas Ltd. (who also manages SIBT). The difference is that City Campus student cards cannot be used to borrow in our library.

However, this organisation does offer some MQ subjects and any students doing these subjects is entitled to a MQ ID. Verify if they are such a student by checking their ID or name on Voyager.

Please then direct them to C5C where they will be issued the MQ Campus card. Once they have the card, they can borrow.
Note that there is often a delay in Voyager updating from the student system. If they want to borrow same day, they will need to return to the service zone desks with their MQ ID and the selected books.

Paying Library fines remotely

1. First ask the client if they are a current Macquarie University student.

2. If they are a current Macquarie University student, refer them to: http://www.ofs.mq.edu.au/student_finances/paying_fees.htm
This webpage lists all of the payment options open to current MU students.

3. If they are not a current Macquarie University student (SIBT, CME, Alumni, Associate, Reciprocal etc), refer them to: Library Homepage - Borrowing - Fines - scroll down to Payment Options. Here they will find a form that they can fax to the Cashier.

4. Finally, if they are confused, remind them that the Cashier is open Monday-Friday 9am-5pm (Lincoln Building C8A). They will need to take their current Library borrowing card, SIBT card or CME card to the cashier.

Additional information about fines:

a. The Library does not charge interest on fines. Therefore if a client cannot pay the fine for a week or so, it will not increase (some clients are concerned about this).

b. Current Macquarie University students who do not pay their fines before the exam period risk not receiving their results until the fine is paid.

Fine and Penalties for late return of PPP kits and Laptop locker keys

Fines are accrued for late return of Presentation Practice Pod kits and Laptop Locker keys.

Information about fines for all Library items can be obtained at: http://www.mq.edu.au/on_campus/library/borrowing/fines_and_penalties/

Please be careful when lending items for use within the Library (eg: PPP kits, laptop locker keys, netbooks etc) to remind the client of the time limit and the fine.

Note for the presentation practice pods: an individual can only book for a 2 hour use of the pod. However, a kit can be returned and lent again if this does not infringe on another booking.

The essential point is that the client must come back to us with the kit within the specified time to re-lend or to return the kit.

Borrowing During the Campus Card Update

Some issues have arisen during the Campus Card updating process with cards being given recycled barcodes (one barcode, for two different patrons).

Procedure for staff at desk to deal with this issue:
a. Record (screenshot and print) BOTH names, plus barcode.
b. Loan to patron if you can determine the correct identity.
c. Place printed information in queries tray at Zone 3.

Note: If 2 patron groups display for a single patron, press enter and continue to loan. This issue will be resolved in the system within 24 hours of the record being created.

New Library After Hours Returns Chute

The New After Hours Returns Chute is located outside the Library loading bay on Macquarie Drive (opposite Security).

The chute to drop books through will be unlocked each evening half an hour before closing and locked and cleared when the Library opens each morning.

Staff will continue to open/close the chute in the Old Library until next Monday morning 9th January 2012.

Signage is being put in place in both the old and new libraries.

Please let Access Services know if you have any questions or receive any feedback from clients. The extension is x7507. Leave a voicemail if unattended (eg in evenings or on weekend).

Note: there are two bins located at the dock. One is open each evening for after hours books. The other is an overflow bin, and so will only be used at those times when we are expected large numbers of books to be returned (eg: Easter and Christmas).

ARC Requests

Please note the following points about placing requests for items held in the Automated Retrieval Collection (ARC):

· Requests are placed by clicking on “Place a Hold/Closed Collection Request/ Automated Retrieval”

· Requests will be “picked” and available within 30 minutes. Please do not promise a faster time - even if it is quiet.

· Requests will be held for 3 business days (ie weekend does not count)

· Requests are held under the requestor’s surname. For guests, the request will be located under Guest.

· Requestors will not receive any notification

· Item record will not change in the Catalogue

ARC requests are held for three (3) business days.

If contacted by a client needing an ARC request held for an additional day, note this on the ARC request slip.

If an item cannot be found by a client and the catalogue does not display Automated Retrieval Collection, please treat this as a Missing Item. Concerned clients can be referred to the Borrowing Enquiries Desk where staff can check when the item last circulated.

The How To Borrow page has been updated to include ARC information. http://www.library.mq.edu.au/borrowing/how-to-borrow.html

Note that holds are different to ARC requests. They are collected from Reserve and are held for seven (7) days. Students often get ARC requests confused with Hold request or Document Supply requests. If you can't find the book in the first place, check the others.
