Room Booking Software - basic instructions

Before booking, please check the Note Field of each room (accessed when you click a time on the room booking software to book in the client) . This will tell you who can use the room or pod, for how long and for what purpose.

1. Any booking you make must give the student's name, their ID number and the unit code.

It is not sufficent to enter their name and mobile number. If the student does not know these things, or cannot produce their ID, please apologise but advise them that you cannot book the room without the appropriate proof of identity and purpose. If in doubt, please refer to the Service Coordinator.

2. None of the pods that can be booked by students can be booked as a study room. Refer study queries to the open access group study areas on Levels 1-4 (generally in the middle of each level).

University casual room booking system

The new University casual room booking system is located at https://timetables.mq.edu.au/Scientia/Web/wrb.html

It is currently only open to staff who need to book rooms across campus on a casual basis. Refer to the website for conditions of use and available rooms.

At a later date, it may be opened to students, but this has not yet occurred. Refer student queries for space outside the Library back to the administrative staff and/or the individual lecturer in the student's facility.

Staff use of Meeting Rooms

1. Please remember to book the meeting rooms for your meeting and appointments through the room booking software available on the intranet at Intranet Home - Room Booking System (on left).

Logon name: firstname.surname (note the full stop between)
Password: your work PC password

2. M4.01-03 cannot be seen on the information.desk login. This is to prevent staff accidently booking students into these spaces.

3. All requests must be confirmed with Library Business Services, and requests may be rejected if staff neglect to identify the use of the room in the Summary Field eg: Working on Room Bookings Project.

Viewing updates to Room Bookings

Often the Room Booking System website is left open and logged in during the day at the Information Desk computers. While this makes it easier to view bookings, the website does not update itself with bookings made on other computers.

To view the latest changes to Room Bookings:
1. Refresh the website using the refresh button on your internet browser.
2. Alternatively, log out of the Room Booking website and log in again.
